# How to Create Inventory Audit Reports

> Build an inventory audit report in FieldPulse to trace every quantity change by hub, team member, and change type after a count comes up short.

> **Who uses this:** Admins have full reporting access, Team Managers can be given it, and Service Agents and Limited Agents do not. **Availability:** All regions.

An inventory audit report is built from the **Invoices > Inventory Audit** tab in raw data reporting, and it is the change history for your stock — every quantity change to regular and serialized inventory, with the user who made it, the date and time, and the hub it happened in.

## Overview

An inventory audit report answers one question about your stock: what changed, and who changed it. Use it to know who made changes to the inventory and when, to track discrepancies between expected and actual inventory levels, and to keep every inventory change logged and traceable. You can view historical changes across the board, per team member, or by specific inventory hubs.

Raw data reporting carries other inventory reports on nearby tabs, and each covers different data. Building an inventory audit report follows the same path as every other raw data report — set a date range, choose the columns, set filters, then read the table. ## Before you begin

* Check that your role has reporting access. An Admin has Full Reporting access; a Team Manager needs **Full Reporting access** turned on.

* Have inventory activity to report on. The **Type of Change** column records manual adjustments, invoice deductions, and order replenishments — see [How to Deduct and Count Inventory](/inventory-materials/item-list/deducting-counting).

## Set the inventory type and date range

1. Select **Reporting** under the **Management** tab in the left-side menu.

2. Select the **Invoices > Inventory Audit** tab, then select **Raw Data**.

3. Select the type of inventory items to report on. You can select regular and serialized inventory items together, or report on each product type separately.

4. Select the calendar icon and choose the start date range you want to report on.

5. Select **Load Data**.

The calendar offers these presets:

| **Preset**       | **Date range**                                    |
| ---------------- | ------------------------------------------------- |
| **Today**        | 12:00 AM to the current time                      |
| **Yesterday**    | The previous day, 12:00 AM to 11:59 PM            |
| **This Week**    | Monday through Sunday of the current week         |
| **Last Week**    | The previous week                                 |
| **Last 7 Days**  | The previous seven days, including today          |
| **This Month**   | The first of the current month to the current day |
| **Last Month**   | The entire month before the current month         |
| **Last 30 Days** | The previous 30 days, including today             |
| **Custom**       | Start and end dates you select on the calendar    |

## Choose your columns

Select **Columns** to choose which inventory audit fields appear in the report table and the order they appear in.

The inventory audit report includes these columns by default:

| **Column**              | **What it holds**                                                                            |
| ----------------------- | -------------------------------------------------------------------------------------------- |
| **Item Name**           | Line item name                                                                               |
| **Date/Time of Change** | Date and time the inventory quantity was changed                                             |
| **Original Quantity**   | Quantity before the change                                                                   |
| **New Quantity**        | Quantity after the change                                                                    |
| **Hub**                 | Location of the item                                                                         |
| **Type of Change**      | How the inventory was changed — manual adjustment, invoice deduction, or order replenishment |
| **Changed By**          | User who initiated the change                                                                |
| **Related Invoice**     | Related invoice record #                                                                     |
| **SKU/ID#**             | Item #/SKU                                                                                   |
| **Serial Number**       | Serial number                                                                                |
| **ID Number**           | ID number (serialized inventory only)                                                        |
| **Reference Number**    | Reference number (serialized inventory only)                                                 |
| **Supplier Name**       | Supplier linked to the inventory item                                                        |
| **UPC**                 | UPC/barcode                                                                                  |
| **Unit Cost**           | Unit cost                                                                                    |
| **Unit Price**          | Unit price                                                                                   |
| **Order Number**        | Purchase order number                                                                        |

## Set your filters

Before running the report, set filters to narrow the results. Select the **Filters** icon, then choose how you want to filter the report.

The **Filters** panel offers these fields:

| **Item Name**           | Filter by contents     |
| **Date/Time of Change** | Filter by date         |
| **Hub**                 | Select the hub         |
| **Type of Change**      | Select the change type |
| **Changed By**          | Filter by contents     |
| **Related Invoice**     | Filter by contents     |
| **SKU/ID#**             | Filter by contents     |
| **Serial Number**       | Filter by contents     |
| **ID Number**           | Filter by contents     |
| **Reference Number**    | Filter by contents     |
| **Supplier Name**       | Filter by contents     |
| **Order Number**        | Filter by contents     |

### Filter operators

When you filter by contents, choose an operator and then enter the values to filter the data on.

## Tips

* Set the time frame for the audit first, then filter by **Changed By** or **Hub** for a focused view of who changed what and where.

* Group the report by **Item Name** to see every change to a single item in one place.

* Use **Type of Change** to separate manual adjustments from invoice deductions and order replenishments.

## FAQs

### Can I save an inventory audit report to use again?

Yes. Select **Save as Report**, then **Save as New** to store it under **Select Report**, or **Save as Widget** to add it to your Pulse Dashboard. See [How to Use Raw Data Reporting](/reporting/raw-data/using-raw-data-reporting) for the full saving flow.

### Can I export an inventory audit report to a spreadsheet?

Your inventory audit report is working when the table returns every quantity change in the date range you selected, shows the user and hub behind each change, and narrows to one item, one team member, or one hub once your filters are applied.
