# How to Create Timesheet Reports

> Build a timesheet report in FieldPulse to total logged hours by team member, job, or project and pair durations with clock-in notes before payroll.

> **Who uses this:** Admins have full reporting access, and Team Managers can be given it. Service Agents and Limited Agents do not have reporting access. **Availability:** All regions.

A timesheet report is built from the **Timesheets** tab in raw data reporting, and it pulls timesheet data — clock-in and clock-out times, durations, notes, and the related job, project, and customer — into one table you can filter, group, and export.

## Overview

A timesheet report answers one question about your team's time — who was clocked in, for how long, and against what work. Use the timesheet report to total logged time by team member, to roll up hours against a job or project, or to pull durations alongside the notes that explain them, so the hours are verified before you run payroll. Common timesheet reports include timesheets by team member, timesheets by job or project, and timesheet duration with notes.

Building a timesheet report follows the same path as every other raw data report — choose a date type, set a date range, choose the columns, set filters, then read the table. ## Before you begin

* Have the timesheets you want to report on recorded in FieldPulse. See [How to Use Employee Timesheets](/jobs/timesheets/employee-timesheets).

* Check that your role has reporting access. An Admin has full reporting access; a Team Manager needs **Full Reporting access** turned on.

## Set the date type

1. Select **Reporting** under the **Management** tab in the left-side menu.

2. Select the **Timesheets** tab, then select **Raw Data**.

3. Select a **Date Type**. The date type sets which timesheet date the report runs on, so pick the one that matches the pay period you are reconciling.

| **Date type**      | **The date it uses**           |
| ------------------ | ------------------------------ |
| **Created Date**   | When the timesheet was created |
| **Clock In Time**  | When the clock in occurs       |
| **Clock Out Time** | When the clock out occurs      |

## Set the date range

1. Select the calendar icon and choose the start date range you want to report on.

2. Select **Load Data**.

The calendar offers these presets:

| **Preset**       | **Date range**                                    |
| ---------------- | ------------------------------------------------- |
| **Today**        | 12:00 AM to the current time                      |
| **Yesterday**    | The previous day, 12:00 AM to 11:59 PM            |
| **This Week**    | Monday through Sunday of the current week         |
| **Last Week**    | The previous week                                 |
| **Last 7 Days**  | The previous seven days, including today          |
| **This Month**   | The first of the current month to the current day |
| **Last Month**   | The entire month before the current month         |
| **Last 30 Days** | The previous 30 days, including today             |
| **Custom**       | Start and end dates you select on the calendar    |

## Choose your columns

Select **Columns** to choose which timesheet fields appear in the report table and the order they appear in.

The timesheet report includes these columns by default:

| **Column**                       | **What it holds**                                                                                             |
| -------------------------------- | ------------------------------------------------------------------------------------------------------------- |
| **User**                         | The team member who clocked in and out                                                                        |
| **Clock In Title**               | The clock-in title                                                                                            |
| **Clock Out Title**              | The clock-out title                                                                                           |
| **Clock In Date/Time**           | The clock-in date and time — **Clock In Date** and **Clock In Time** hold the date and the time separately    |
| **Clock Out Date/Time**          | The clock-out date and time — **Clock Out Date** and **Clock Out Time** hold the date and the time separately |
| **Clock In Notes**               | Notes left on the clock-in record                                                                             |
| **Clock Out Notes**              | Notes left on the clock-out record                                                                            |
| **Customer**                     | The customer linked to the related job                                                                        |
| **Created At**                   | The date and time the timesheet was created                                                                   |
| **Tags**                         | Tags on the clock-in/out record                                                                               |
| **Parent Project**               | The linked project record                                                                                     |
| **Parent Job**                   | The linked job record                                                                                         |
| **Related Job Location Address** | The address of the related job record                                                                         |
| **Related Job City**             | The city that the related job was completed in                                                                |
| **Related Job State**            | The state that the related job was completed in                                                               |
| **Related Job Zip Code**         | The zip code that the related job was completed in                                                            |
| **Related Job Location Name**    | The name of the location that the related job was completed in                                                |
| **Related Job Notes**            | Notes on the linked job record                                                                                |
| **Related Job Field Notes**      | Field notes on the linked job record                                                                          |
| **Duration**                     | Time spent clocked in, in HH:MM:SS — **Duration Decimal** holds the same time in hours                        |
| **Timesheet Type**               | Which type the timesheet is — **Job Tracking** or **General Timesheet**                                       |

## Set your filters

Before running the report, set filters to narrow the results. Select the **Filters** icon, then choose how you want to filter the report.

The **Filters** panel offers the same timesheet fields as the columns list. Most fields filter by contents — you choose an operator and enter a value. These fields filter differently:

| **Filter**                                                      | **How you filter**                               |

| **Clock In Date/Time**, **Clock In Date**, **Clock In Time**    | Filter by date                                   |
| **Clock Out Date/Time**, **Clock Out Date**, **Clock Out Time** | Filter by date                                   |
| **Created At**                                                  | Filter by date                                   |
| **Parent Project**                                              | Select the project                               |
| **Parent Job**                                                  | Select the job                                   |
| **Timesheet Type**                                              | Choose **Job Tracking** or **General Timesheet** |

### Filter operators

When you filter by contents, choose an operator and then enter the values to filter the data on.

## Common timesheet reports

These are the column and grouping combinations behind the timesheet reports companies run most often.

### Timesheets by team member

Use this report to view timesheets sorted by team member. Customize the columns to your needs, but include *User*, and group by *User*.

### Timesheets by job or project

Use this report to view the timesheets related to the same job or project, which gives you the total duration against that job or project. Customize the columns to your needs, but include *Parent Job* or *Parent Project*, and group by *Parent Job* or *Parent Project*.

### Timesheet duration with notes

Use this report to view timesheets alongside the related notes, which gives you the context behind each duration. Customize the columns to your needs, but include *Duration* or *Duration Decimal* and *Clock In Notes*, *Clock Out Notes*, or *Related Job Field Notes*.

## FAQs

### Can I save a timesheet report to use again?

Yes. Select **Save as Report**, then **Save as New** to store it under **Select Report**, or **Save as Widget** to add it to your Pulse Dashboard. See [How to Use Raw Data Reporting](/reporting/raw-data/using-raw-data-reporting) for the full saving flow.

### Can I export a timesheet report to a spreadsheet?

Yes. Select **Export CSV** to download the report currently on your screen as a CSV file to your device.

Your timesheet report is working when the table returns the clock-in and clock-out records you expected for the date type and date range you chose, shows the columns you selected, and collects each team member's timesheets together once you group by **User**.
