Who uses this: Admins — importing data and recreating your account setup in Company Settings requires admin access. Availability: All regions.
This guide moves your data and workflow from FieldEdge to FieldPulse. Both platforms are built for the trades and share the same core structure — jobs, dispatching, flat rate pricing, maintenance agreements, and reporting — so most of the move is learning the new names for things you already do and recreating your setup once.

Overview

FieldEdge and FieldPulse cover the same core workflows: jobs, dispatching, flat rate pricing, maintenance agreements, and reporting. The terminology differs in a few key areas, which the terminology reference below maps in full. The migration has three parts: import your existing data (customers and items), recreate your account setup (users, workflows, and settings), and learn where each day-to-day task lives in FieldPulse.

Before you begin

  • Export from FieldEdge: export your customer list and your item/price catalog to Excel, Google Sheets, or CSV using FieldEdge’s own export tools — the exact export steps vary by FieldEdge plan and are not covered here. Keep your open work orders, estimates, and agreements accessible for reference during setup.
  • Prep for import: FieldPulse brings your data in with its own import tools rather than a direct FieldEdge connection. Review How to Import Data into FieldPulse and How to Import Customers before you start.

Terminology reference

Here is how FieldEdge terminology maps to FieldPulse. Use this table as your translation key while you set up FieldPulse and while your team learns the new workflow.

Import your customers and items

Bring your customer base and item catalog into FieldPulse with the import tools before you start creating jobs.
  1. Import your customer list. Follow How to Import Customers to download the mass import template, fill it in from your FieldEdge customer export, verify the records, and upload.
  2. Import your items. Build your Item List by importing your Products (FieldEdge Parts) with the item import template — see How to Import Your Item List.
  3. If you sync FieldPulse with QuickBooks, do not import customers or items — the sync brings both your customers and your items into FieldPulse automatically.

Recreate your account setup

Work through these in order. Users, tags, and workflows should be in place before you create jobs.

Users and teams

  1. Add team members in Company Settings > User Accounts. Create each user and assign a role: Administrator (equivalent to FieldEdge Admin), Team Manager (equivalent to Manager, Dispatcher, or CSR), Service Agent (equivalent to Technician), or Limited Agent (mobile-only).
  2. Create teams in Company Settings > User Accounts > Teams. Recreate your FieldEdge Crews as Teams and assign users to each.

Custom status workflows

  1. Recreate your job statuses in Company Settings > Jobs > Custom Status — for example, Pending, Traveling, Working, and Completed. Configure notification triggers on statuses that send customer communications, particularly the Traveling / On The Way status for ETA notifications.
  2. Set up estimate statuses in Company Settings > Estimates & Invoices > Estimate Custom Status, and configure notification triggers where needed.
  3. Set up invoice statuses in Company Settings > Estimates & Invoices > Invoice Custom Status, and configure statuses and notifications.

Company and financial settings

  1. Enter your company information in the Company Settings > General tab (name, logo, contact information).
  2. Set a default tax rate in Company Settings > Estimates & Invoices > General, or enable automatic tax rates in Company Settings > Features & Plug-Ins.
  3. Build estimate templates from the Estimates tab under Sales: Templates > New Estimate.
  4. Build invoice templates from the Invoices tab under Sales: Templates > New Invoice.
  5. Enable payment processing in Company Settings > Features & Plug-Ins > FieldPulse Payments and start your application.

Create and dispatch a job

Create a job the way you created a Work Order in FieldEdge, then dispatch it from the Schedule.
  1. Go to Jobs > Create Job and search for your customer. If the customer does not exist yet, create the customer first under Customers.
  2. Fill in the job title and notes.
  3. Assign a user or team and set a date and time. Use Find Availability to see open time slots before scheduling.
  4. Apply any relevant Tags — the equivalent of FieldEdge’s job category fields.
  5. Save the job. It appears in the Dispatch View and on the assigned technician’s schedule.

Send an estimate

Build and send an estimate in place of a FieldEdge Quote, including Good-Better-Best pricing.
  1. Open the customer record or job record, go to the Estimates tab, and select New Estimate.
  2. Add line items from your Item List.
  3. To present multiple pricing options (Good-Better-Best), add Estimate Options — each option has its own line items and price. For upsells the customer can select themselves, use Add-On Options.
  4. Send the estimate by email. Your customer receives a link to view and approve the estimate, and the estimate status updates to Accepted automatically when the customer approves.
To turn an approved estimate into an invoice, open the estimate and select Convert to Invoice. Watch the estimate walkthrough video to see these steps in FieldPulse.

Finalize and collect payment

In FieldEdge, Finalization happens on the Work Order and sends the record to QuickBooks. In FieldPulse, Finalization happens on the invoice.
  1. Open the invoice and select Finalize Invoice. Finalizing can lock the invoice, makes it ready for payment, and triggers the QuickBooks sync.
  2. To collect payment immediately, select Payment and choose card, ACH, cash, or check.
  3. To request payment from your customer, select the green Actions button and Send To Customer. With FieldPulse Payments, you can include a payment request with the invoice, and your customer receives an email with a link to pay online.

What your techs need to know

The FieldPulse mobile app is available on iOS and Android, replacing the FieldEdge mobile app. Here is what changes for technicians:
  • Status updates work the same way as FieldEdge: tap the job and select the next status. If your admin configured notification triggers (such as Traveling or On The Way), those send automatically when the tech updates the status.
  • To record equipment at a customer’s location, open the Customer record and add a Customer Asset with the model, serial number, install date, and warranty information.
  • To finalize and collect payment, open the invoice from the job, tap Finalize Invoice, then tap Collect Payment.
  • To log time, use the Timesheets tab.
  • FieldPulse works offline. The app switches to Offline Mode automatically when signal is lost and syncs when the connection is restored.

FAQs

Can I run FieldEdge and FieldPulse at the same time during the switch?

Yes. Many teams keep FieldEdge open for reference and stop entering new work in it once FieldPulse setup is complete and data is imported. For help sequencing a go-live, contact support at support@fieldpulse.com or use the in-app chat.

Does my data transfer automatically from FieldEdge?

No. FieldPulse imports your customers and items from spreadsheet templates rather than through a direct FieldEdge connection. See How to Import Data into FieldPulse. Your migration is on track when your customers and items are imported and showing as valid, your users and status workflows are recreated, and you can create a job, send an estimate, and collect a payment in FieldPulse the same way you did in FieldEdge — under the new names the terminology reference maps for you.
