Who uses this: Admins connect and configure the integration; once it is on, the sync runs for the whole account. Availability: Requires the customer’s own QuickBooks Online subscription (Essentials, Plus, or Advanced) and is available in the United States, Canada, and Australia. The QuickBooks Online integration keeps your customers, estimates, invoices, and payments in sync between FieldPulse and QuickBooks Online, so you enter a job once and your books stay current without re-keying anything. This page is the hub for the integration: it explains what syncs and points you to the setup sequence.

Overview

The QuickBooks Online integration connects your FieldPulse account to your QuickBooks Online company file. Once connected, records you create or edit in one system flow to the other automatically. The workflow breakdown it solves is the double entry that happens when the field team closes work in one tool and the office re-types it into the accounting system — the gap where invoices go out late and the books fall behind. Most records sync two ways (FieldPulse ↔ QuickBooks Online). Purchase orders and timesheets are separate, opt-in syncs you request from support.

How it works

The table below shows what the QuickBooks Online integration syncs and in which direction. QuickBooks Online projects sync into FieldPulse as related customers. The FieldPulse QuickBooks Online sync follows standard accounting practice: a collected payment flows Invoice → Payment → Undeposited Funds in QuickBooks Online.

Before you begin

You connect QuickBooks Online from Company Settings > Features & Plugins, but access is granted by request first. To start, contact the FieldPulse team through in-app chat or at support@fieldpulse.com to request access. Before you connect, work through the preparation checklist so your data comes over clean — see Setting Up QuickBooks Online Before Syncing. Do not connect if your QuickBooks Online company is already synced with another field service management system. Set up the integration in this order:
  1. Setting Up QuickBooks Online Before Syncing — what syncs, plan requirements, and the settings to change first.
  2. How to Sync With QuickBooks Online — request access and turn on the connection.
  3. How to Manage QuickBooks Online After Syncing — sync settings, tax handling, and managing sync results.
